Terms of Service

1. Acceptance

By creating an account or using Letter, you agree to these Terms of Service. If you do not agree, do not use the Service.

2. The Service

Letter is an email automation platform for software companies. You send us your users and product events through our SDKs or API, build email sequences and broadcasts, and Letter delivers that email to your contacts on your behalf.

You remain responsible for the content you create and for the people you choose to email. Letter provides the infrastructure; it does not review or endorse your messages.

3. Account

  • You must provide a valid email address to create an account.
  • You are responsible for the confidentiality of your access and for all actions taken under your account, including by your API keys.
  • You must have the legal authority to act for the workspace and the sending domains you connect.

4. Your contacts and permission to send

You are the controller of the contact data you upload or stream into Letter. By sending email through the Service, you represent and warrant that:

  • You have a lawful basis and the necessary consent or permission to email every contact you add.
  • You will not send unsolicited bulk email (spam), and you will not use purchased, rented, or scraped lists.
  • Every campaign lets recipients opt out, and you will honor unsubscribe requests promptly. Letter adds a one-click unsubscribe mechanism to the email it sends.
  • You comply with applicable laws, including the GDPR, the ePrivacy rules, CAN-SPAM, and CASL.

Our processing of contact data on your behalf is governed by our Data Processing Agreement, available at hello@letter.app.

5. Acceptable use

You agree not to:

  • Use the Service for illegal, deceptive, or fraudulent activity
  • Send phishing, malware, or content you do not have the right to send
  • Attempt to bypass security or authentication mechanisms
  • Reverse-engineer, copy, or redistribute the Service
  • Saturate the API with unauthorised or abusive automated calls

6. Sending limits and deliverability

Letter operates shared sending infrastructure. To protect every customer's deliverability, we may apply rate limits, require domain or identity verification, and suspend sending for an account whose bounce or spam-complaint rates are excessive or whose content violates these terms. We will act proportionately and, where practical, give notice.

7. Pricing and billing

  • Letter offers a Free plan and paid plans priced by contact tier. Paid plans are billed monthly in advance through our payment provider, Stripe.
  • Taxes (such as VAT) are added where applicable based on your billing details.
  • When you change plans mid-cycle, the difference is prorated. You can cancel at any time; a downgrade to Free takes effect at the end of the current billing period, and you keep paid features until then.
  • Except where required by law, payments are non-refundable for partial periods.
  • Any pricing change will be communicated by email at least 30 days before it takes effect. You are free to refuse and close your account at no cost.

8. Availability

Letter does its best to ensure continuous availability but does not guarantee 100% uptime. Maintenance, hosting incidents, and upstream email or infrastructure incidents may occasionally interrupt the Service.

9. Limitation of liability

The Service is provided "as is". To the extent permitted by law, Letter cannot be held liable for indirect or consequential losses, including losses linked to deliverability, missed sends, or campaign outcomes. Without prejudice to the above, our total liability shall not exceed the amounts you paid us during the 12 months preceding the event.

10. Suspension and termination

You can close your account at any time from your Letter dashboard or by emailing hello@letter.app. We may suspend or close an account in case of breach of these terms, with reasonable notice except in emergencies such as active abuse, spam, or a threat to platform security.

11. Intellectual property

Letter (code, design, brand) remains the property of Vincenzo.be SRL. You retain ownership of your content and of the contact data you send through the Service.

12. Governing law

These terms are governed by Belgian law. Any dispute will fall under the competent courts of Brussels.
